All things facilitators need to know

Kahoot Instructions (For ASPIRE Online):

  • Once you have clicked the link and logged on you should already be in the correct Kahoot Quiz.

  • Select “Classic Mode”

  • The GAME PIN should then appear at the top of your screen and the waiting room will be at the bottom.

  • Manually turn the volume all the way down.

  • You can now leave that until it is time to do the Kahoot.

  • When is it time, simply share your screen (instead of the slides) in Microsoft Teams:

    • Share Content > Window > Kahoot!

  • Note: you are sharing your internet browser window, not just the Kahoot tab, so be aware they will be able to see the names of your other tabs. I recommend having Kahoot as the only tab open in your browser when you share.

  • Once the students can see the game pin, they can follow the instructions at the top of your screen and join the quiz. You will see as they begin to enter the waiting room

General tips for running online programs

GENERAL HOUSEKEEPING WHEN STARTING WORKSHOP / IN CONTACT CONVERSATION:

  • Check times with contact

  • Let them know that in the breaks you will STAY IN THE MEETING but have your camera off and microphone muted

  • Let the contact know (and all joining once they are in) that microphones should be on mute for the entirety of the program unless advised otherwise (for things like TTYPA, shoutouts, etc.)

    • Be patient with this and gently remind teachers throughout the day if needed

  • Students should be in view of the camera for the entirety

  • Teacher support and engagement is crucial in this running successfully and the students having an impactful experience

    • Teachers will be our presence in the room

    • They will need to behaviour manage including re-sharing instructions with students if they fail to hear our team, etc.

    • They will be involved in creating teams for the TEAM session prior to the session

    • They will be scoring teams as we are not in the room

    • We will let them know what is required of them as we go throughout the program



THINGS TO BE AWARE OF AND ADJUST FOR ONLINE WORKSHOPS COMPARED TO FACE TO FACE WORKSHOPS:

  • Obviously, as you are not in the room with students, things are different online.

  • Note that facial expressions and hand gestures are your only real form of non-verbal communication / body language, use this to your advantage.

  • You may need to demonstrate things on your own, and pretend you are acting as the groups partner for the demonstration instead of having a volunteer help you demonstrate

  • You may be able to use your co-facilitator as a demonstration partner (think 5 finger bingo, a co-facilitator can help you demonstrate this).

  • Your verbal communication needs to be very, very clear.

  • Your EAC needs to be very, very clear. Students will be up and moving a lot, so ensure they know the signal to stop what they are doing and sit down once again. You can do this by asking the teachers in the room to keep an eye on the screen and let students know when the activity is finished. There are also timers in the slide deck, let the students know that they have that amount of time to do the activity, and once that is done so are they.



OTHER THINGS TO KNOW AND ENSURE FOR ONLINE WORKSHOPS:

  • Ensure your laptop is fully charged and a charging cable is on hand to use throughout the day

  • Test that your internet is ready, have your phone on hand to use hotspot if needed

  • Check the timing of sessions in the calendar:

    • Note that the times will be the local time of the school. Check daylight saving times and whether that applies

      • During daylight savings QLD is one hour behind NSW and VIC

      • If the school is based elsewhere in Australia google the local time of the town / city

    • Join the meeting 50 minutes before session 1 starts to test technology with Co-Facilitator. This is 20 minutes before you meet the contact.

    • Contact from the school should join the meeting 30 minutes before session 1 starts to meet team, have a contact conversation, and run through any other final details

      • Once things are set up let the contact know that your microphone will be muted and camera will be turned off until 5 minutes before the session when these things will be turned back on so that we are ready to go. The contact / teachers can do the same. Stay at your laptop in case any issues / questions arise.

  • Ensure that the following tech has been tested BEFORE meeting with the contact/s on the day:

    • Both facilitators are in the meeting room. Ensure you can see and hear each other clearly.

    • Lead facilitator to check that their screen is shared without issue, and that audio from videos and UPP music trivia playlist can be heard.

    • Check to see if there is a prominent lag when changing slides (expect a small delay).


  • If you cannot see the students then your co-facilitator may need to be your eyes. Feel free to ask them questions throughout the program such as:

    • Cody, have the students all taken a seat yet and are we now ready to move on?

    • Quinton, please let me know once the students are showing us they have thought of an answer by having one hand on their head

  • At the end of each session ensure you set the teachers up for the next session:

    • What needs to happen before then?

      • Clearing space?

      • Equipment sorted?

      • Creating teams before everyone is back together?

      • Technology sorted if needed?

      • Other?
